Transaction reports and statements

Download official PDF statements, view real-time transaction logs, and export detailed financial records.

FastSpring provides comprehensive financial records to support your accounting and tax reporting workflows. These tools range from high-level PDF statements for official bookkeeping to granular CSV exports for detailed transaction auditing. You can access all financial tools from the Account Summary page in the FastSpring app.

Payout statements (PDFs)

Payout Statements are static PDFs that reflect the funds transferred to your bank. Use these files as your official "proof of payment" for tax reporting and high-level reconciliation.

How to download statements

You can retrieve statements using two different methods depending on your goal:

  1. Navigate to [Store Name] (top right) > Account Summary.
  2. Click Payout History.
  3. Select the method that matches your needs:
    • Specific Payout Receipt:
      Click the date link in the Payout Cycle column to download the receipt for a specific bank transfer.
    • Monthly or Yearly Summary:
      Click Generate Statements (top right) to open the Generate Statements modal.
      1. In the modal, select Yearly or Monthly.
      2. Use the dropdowns to specify the exact time period.
      3. Click View Statement to open the PDF in a new tab. You can click the Download icon () in the bottom-right corner to save the file.

What is in the statement?

Each statement provides a consolidated view of the financial activity that contributed to your final payout amount:

  • Orders: The total revenue from processed orders during the period.
  • Refunds: The total amount returned to customers.
  • Fees (Including Returns and Chargebacks): The processing fees retained by FastSpring.
  • Adjustments: Manual credits or debits to your balance (often due to affiliate commissions or special corrections).
  • Chargebacks: Any funds withheld due to disputed transactions.

Note: If a manual adjustment was made for a specific payout, it will appear in the Payout Sum total at the bottom of the statement.

Account transactions

The Account Transactions log provides a chronological list of all financial events, including payouts, order batches, and adjustments. You can drill down into specific entries to view visual summaries or export raw data.

How to access the transaction log

To view your complete financial history and drill down into specific periods:

  1. Navigate to [Store Name] (top right) > Account Summary.
  2. Click the Balance amount (large blue text).
  3. This opens the Account Transactions list view.

View transaction details

Click on any row with the type Orders and Returns to open a detailed performance view for that specific period. This view includes four summary cards:

  • Total: Displays the net revenue amount and the specific date range for the transaction period.
  • Daily Revenue: A line graph displaying sales trends day-by-day.
  • Product Revenue: A pie chart visualizing the revenue contribution of your top products.
  • Activity by Type: A table breaking down the total amount by category (e.g., Orders, Returns).

Data exports (CSVs)

FastSpring provides three methods for exporting data, depending on the level of detail required.

Export Account Summary

The Account Summary export summarizes the total income, expenses, and taxes for a specific month.

How to generate

To generate this report:

  1. Navigate to [Store Name] (top right) > Account Summary.
  2. Click the Balance amount to open the Account Transactions list view.
  3. Click the Create Data Export button (top right).
  4. In the modal:
    • Select the Month from the dropdown.
    • Enter the Year.
    • Click Create.

      Note: The modal displays a banner indicating the earliest available date for historical reports.

  5. You will be redirected to the Data Exports page. Once the system finishes processing, click the filename to download the CSV.

Account Summary Export

The Account Summary export includes the following columns:

Export Product Summary

Generates a report focusing on product performance. This export excludes customer personal information (PII).

How to generate

To generate this report:

  1. Navigate to [Store Name] (top right) > Account Summary.
  2. Click Balance to open the Account Transactions list.
  3. Click on any row labeled Orders and Returns.
  4. On the detail page, click Options > Export Product Summary.

Note: Affiliate commissions and fees are recorded separately as Adjustments in your main transaction log. They are not deducted from the Income or Amount columns in this export.

Product Summary Export

The Product Summary export includes the following columns:

Export Line Item Detail

Generates a granular row-by-row log of every financial event in the period.

How to generate

To generate this report:

  1. Navigate to [Store Name] (top right) > Account Summary.
  2. Click Balance to open the Account Transactions list.
  3. Click on any row labeled Orders and Returns.
  4. On the detail page, click Options > Export Line Item Detail.

Important: Orders containing multiple products will generate a separate row for each item (sharing the same Reference ID). If a transaction involves a split payment, it will appear as two separate rows: one showing the full transaction income, and a second row showing the split amount as a negative value in the Income column.

Line Item Detail Export

The Line Item Detail export includes the following columns:

Understanding the data

You may encounter specific line items or accounting nuances in your logs that require clarification.

Negative "Payment" amounts

Rows labeled Payment in your Transaction Log will often show a negative value (e.g., -$5,000.00). This represents money leaving your FastSpring holding balance and being transferred to your financial institution. It is a confirmation that a payout was issued.

Seller invoices

FastSpring acts as the Merchant of Record, meaning we generate invoices for your customers. We do not provide a "sales invoice" to you, the seller.

Please use the Payout Statement (PDF) as your official proof of income. If you require a formal invoice format for internal accounting, you can populate this generic template using data from your Monthly Statement.
